Records request

Every request answered on time, and on the record.

Records request is Enclerk.com’s portal for the California Public Records Act. A request is received, dated, routed to the department that holds the records, answered and archived from one plain interface. It is built for small and mid-sized California agencies, and is set up in an afternoon.

What it does

A portal of your own

The public asks for records at your agency's own address, under your name, logo and colors. A requester signs in with a link sent by email and never sets a password.

The statutory calendar

Every request is stamped on receipt and its ten days counted from your own office hours and closed days. An extension is recorded with its reason and the new date.

A name on every request

Each request goes to a department, a custodian who searches for the records, and one reviewer who is responsible for it, with an order of who steps in when someone is away.

Letters and exemptions

Response letters start from templates, with forty-one exemption paragraphs and their citations ready to put in. A letter asks before it goes if anything in it is unfinished.

Redaction that holds

A reviewer marks a PDF in the browser. The copy that is released carries pictures of the marked pages, with nothing under the black, and the original is never touched.

The record of the record

The request, its messages, letters, exemptions and released files sit on one page in order, and the audit trail of every action exports per request.

Plans

Every plan includes unlimited requests and requesters, the agency's portal address and branding, letter templates, deadline reminders and the audit trail. Seats are for staff: reviewers release, custodians search and upload.

Uploaded files kept is how long the files on a finished request stay on the portal. The request itself, its letters, its messages and its history are kept. An agency that already uses Public meetings adds Records request from its own admin page.
